TempoMatrix Privacy Policy

Effective October 29, 2026

Black Sparrow Studios LLC operates TempoMatrix. This policy describes information TempoMatrix may process to support participating Studios and their Clients. Studios also manage information you provide directly to them for their services.

Information we may process

How information is used

Information is used to authenticate users, enforce authorized access, coordinate Studio services, manage bookings and projects, support payments and delivery, honor communication preferences, provide support, and maintain security and reliability. Availability of a communication feature does not mean messages are automatically enabled or sent.

Google identity and Google Calendar information

Continue with Google uses basic Google identity information, including your account identifier, email address, and profile information, to sign you in. Connecting Google Calendar is a separate authorization available to authorized Studio Staff.

Calendar access and use

With your authorization, TempoMatrix reads your calendar list so Staff can select an external calendar for the Studio. It processes account and calendar identifiers, calendar names and time zones, and selected event identifiers, titles, start and end times, all-day status, busy or transparent status, cancellation status, and synchronization metadata. These details support the Studio Calendar display, incremental synchronization, and scheduling conflict checks. Authorized Studio Staff may view imported details; public booking availability uses busy-time results rather than publishing private Google event details.

Existing external calendars and imported events remain read-only in TempoMatrix. For booking writeback, TempoMatrix creates a separate managed Google Calendar and creates, reschedules, or cancels only booking events recorded as created by TempoMatrix on that calendar. Stored ownership mappings limit those operations. Manually created or unproven events are not treated as TempoMatrix-owned events. Booking exports use relevant service, time, and location information.

Storage, sharing, and retention

Connection settings, imported event data, synchronization metadata, and managed-calendar and booking-event mappings are stored in TempoMatrix’s database to operate the integration. Refresh tokens are encrypted at rest and used by the server to obtain API access. Connection data and imported events are maintained while the integration is connected; imported event and synchronization state can change as calendars are synchronized or selected.

Google user data is not sold or used for advertising. It is used for the authorized scheduling features described here. It may be processed by service providers needed to host and operate those features, or disclosed for security or legal purposes, only as permitted by Google’s Limited Use requirements. The general service-provider language elsewhere in this policy does not expand those permitted uses.

Disconnecting and requesting deletion

Authorized Staff can open TempoMatrix Admin → Settings → Calendar and choose Disconnect. Disconnect removes the active connection and its encrypted refresh token from the application database, clears imported calendar events and watch records, and disables further authorized synchronization and writeback. TempoMatrix also attempts to revoke the Google grant; if that request cannot complete, local removal still applies. You can independently remove TempoMatrix access through your Google Account’s third-party connections settings.

Disconnect does not delete calendars or events in your Google account. Limited managed-calendar and booking-event mappings and operational history remain for ownership verification, safe retry handling, and Studio records. Disconnect does not erase native TempoMatrix bookings or payment records. An operation already sent to Google may finish before disconnection takes effect. For deletion of retained integration information, contact tempomatrixsupport@gmail.com or your Studio. Requests require identity and authority verification and are handled subject to applicable security, legal, and recordkeeping obligations. Removal from the active database does not promise immediate erasure from retained backups.

Google API Services User Data Policy and Limited Use

TempoMatrix’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

SMS privacy and consent information

Mobile phone numbers, SMS opt-in records, SMS consent information, and SMS messaging data are not sold. They are not shared with third parties for those third parties’ marketing or promotional purposes.

These SMS-related records may only be disclosed to service providers/subprocessors as necessary to operate the messaging service or deliver the requested Studio service, or as necessary to comply with law or prevent abuse. No general service-provider disclosure in this policy permits selling SMS consent data or sharing it for third-party marketing.

SMS consent is specific to transactional/service messaging. Reply STOP to stop SMS messages; reply START where supported to resume, or HELP for help. Opting into SMS is not required to purchase or book services.

Service providers and lawful disclosures

Service providers/subprocessors may process information needed for hosting, authentication, private file storage, payment processing, messaging, or support. Access should be limited to the purpose they perform. Information may also be disclosed where required by law, to respond to lawful requests, protect rights and safety, or investigate fraud, security incidents, or abuse.

Security and retention

We use reasonable technical and organizational safeguards designed to protect information and limit access. No system or transmission can be guaranteed completely secure. Protect your sign-in links and report suspected unauthorized access.

Records are retained as needed to provide services, maintain operational and payment history, document consent or suppression, meet legal obligations, and resolve disputes. Retention varies by record type and applicable requirements. An opt-out or deletion request may not require removal of records needed to honor suppression or satisfy legal obligations.

Privacy requests and contact

Contact the Studio or TempoMatrix support through the contact information provided with your account/service to ask about access, correction, deletion, or communication preferences. Requests are subject to identity verification and applicable legal or recordkeeping requirements. Do not send passwords or private sign-in links with your request.
