Answers about bookings, client access and your studio’s workflow.

What exactly is TempoMatrix?

TempoMatrix is scheduling and management software for creative studios. It connects bookings, clients, sessions, projects, payments, files, tasks and reminders in one workspace. A booking stays connected to the client and the work that follows it.

Who is TempoMatrix for?

Recording studios, production studios, photo studios, video production studios, rehearsal spaces and other session-based creative businesses. Use the same appointment scheduling software to offer a recording session, shoot or rehearsal slot, with related client and project records. The private beta is for studios willing to test that workflow and provide feedback.

Does it replace my Google Calendar?

No. Keep using Google Calendar. TempoMatrix reads busy events from your selected connected calendar to help identify booking conflicts. Existing Google calendars stay read-only; TempoMatrix does not edit or delete those events. New bookings go to a separately created TempoMatrix Managed Calendar.

Can clients book online?

Yes. Your studio gets a custom branded booking page to share with clients, showing your services and variants, locations and available times. The booking system considers availability, blackout dates, existing bookings and selected Google Calendar busy periods. Clients can also choose Book New Session from their portal.

What can clients access in their portal?

Their upcoming and past sessions, confirmation state, deposit and remaining balance information, shared projects and files, and supported review and download actions. They can book another session, view session events and reminders, and manage their account. Access is limited to the records and files made available to that client. See the Client Portal →

Can I collect deposits and track the balance?

TempoMatrix tracks a studio’s required booking deposit, partial payments and remaining balance against the client’s booking. Stripe card checkout and eligible Stripe refunds are currently being validated in test mode; live card processing is not yet released. Staff can record actual payments received through enabled manual methods. Refund actions depend on the payment method, status and eligibility.

Can staff record Cash, Zelle, Venmo or Cash App payments?

Yes. Staff can record Cash, Check, Zelle, Venmo, Cash App or Other payments, including partial payments, with their date, amount and reference. These are records of payments received outside TempoMatrix; TempoMatrix does not initiate transfers through those services.

Can clients review audio and files?

Yes. When review access is enabled, clients can listen to audio with a waveform, leave timestamped comments, review revisions and approve supported files. Project versions and feedback stay together. Downloads depend on the permissions and any balance requirement set for that project.

How do reminders and confirmations work?

The studio chooses recipients, channels and templates. Enabled rules can send booking confirmations, a 24-hour reminder and a six-hour follow-up while the session remains Not Confirmed. A client’s confirmation changes the session to Confirmed. Staff deliberately trigger post-session review requests. Email and transactional SMS depend on enabled features; SMS also requires consent.

Can I manage work beyond the booking itself?

Yes. Create general studio tasks, or link a task to a client, a project, or both. Assign an employee, choose a priority, set a due date and time, and add a checklist. For example, link “prepare the rough mix” to the client and their EP project.

Is TempoMatrix available now?

TempoMatrix is being prepared for a limited, invitation-only private beta. Request beta access and tell us about your studio. A request does not create an account or guarantee an invitation. Existing users can sign in here.

How much does it cost?

Public commercial pricing has not been finalized. Pricing and public launch terms will be announced later. The current availability is Private Beta; there is no published monthly plan or self-service signup.

How is my studio’s information handled?

Access controls keep each studio’s clients, projects and private files separated. Read the Privacy Policy for information about data use, service providers, security and retention, and the Terms for service conditions.

How can I ask a question or request beta access?

Use the Private Beta request form for access, or email tempomatrixsupport@gmail.com for product questions or support. Contact the participating studio directly about the services you booked with it.
